Understanding Agendas and Action Items

Agendas provide structure to your meetings, ensuring discussions stay on track and all critical topics are covered. Action items are the tangible outcomes of these discussions – specific steps that individuals or teams need to take after the meeting. Tracking these ensures accountability and progress.

Creating and Managing Meeting Agendas

When you creating-meetings in Elairo, you'll have the opportunity to build a comprehensive agenda.

Adding Agenda Topics

  1. Navigate to the Meeting: From the left-hand navigation, click "Meetings" and then select the specific meeting you wish to manage.

  2. Access the Agenda Tab: On the meeting details page, click on the "Agenda" tab.

  3. Add a New Topic: Click the "Add Agenda Item" button.

  4. Enter Topic Details:

    • Topic Name: Provide a clear, concise name for the discussion point (e.g., "Q3 Marketing Campaign Review," "Product Feature Brainstorm").

    • Description (Optional): Add more context or specific questions to be addressed during the discussion.

    • Presenter (Optional): Assign a team member responsible for leading this agenda item.

    • Estimated Duration (Optional): Set a time limit to help keep the meeting on schedule.

  5. Reorder Topics: Drag and drop agenda items to change their order, ensuring a logical flow for your meeting.

Agenda Best Practices

  • Share in Advance: Distribute the agenda to attendees before the meeting begins. This allows participants to prepare and come armed with relevant information or questions.

  • Keep it Focused: Only include topics directly relevant to the meeting's objective.

  • Allocate Time Wisely: Use the estimated duration to ensure you can cover all critical topics within the allotted meeting time.

  • Assign Ownership: For each agenda item, clearly designate who is responsible for presenting or leading the discussion.

Taking Meeting Notes

During the meeting, you can use Elairo's built-in note-taking functionality to capture key discussions, decisions, and insights.

  1. Open the Meeting: Access the meeting details page.

  2. Go to the Agenda Tab: Ensure you are on the "Agenda" tab.

  3. Add Notes to a Topic: Next to each agenda item, you'll find a dedicated notes area. Click into this area to start typing.

Creating an Action Item

  1. From an Agenda Topic: While taking notes under an agenda item, you can quickly convert a phrase into an action item or create a new one. Look for an "Add Action Item" button or a similar icon.

  2. Directly in the Meeting: On the meeting's main page or within the "Action Items" tab, you'll find an option to "Add Action Item."

  3. Enter Action Item Details:

    • Description: Clearly state what needs to be done (e.g., "Research market trends for Q4," "Draft a proposal for client X").

    • Assignee: Select the team member responsible for completing the task. This is crucial for accountability.

    • Due Date (Optional): Set a realistic deadline for completion.

    • Priority (Optional): Assign a priority level (e.g., High, Medium, Low).

    • Related to OKR (Optional): Link the action item to a specific creating-okrs or key-results-progress to show its strategic impact.

    • Related to Task (Optional): If this action item is part of a larger project, you can link it to an existing creating-managing-tasks.

Tracking and Following Up on Action Items

All action items generated from meetings are visible in the meeting's "Action Items" tab. They also appear in the assigned individual's personal task list and on relevant task-board-overviews.

  • Status Updates: Assignees can update the status of their action items as they progress (e.g., "To Do," "In Progress," "Done").

  • Comments and Attachments: Add comments to action items for further discussion or attach relevant files.

  • Filters and Search: Use filters to view action items by assignee, due date, status, or related OKR/task.

  • Reminders: Elairo can generate automatic reminders for outstanding action items as due dates approach.
