Understanding KPIs in Elairo
Key Performance Indicators (KPIs) are crucial for measuring the performance of individuals, teams, and the organization against strategic goals. In Elairo, you can define and track KPIs to ensure you're always aligned with your objectives. Unlike OKRs, which typically represent ambitious, time-bound goals, KPIs often track ongoing operational health or long-term performance trends.
The Difference: KPIs vs. OKRs
While both KPIs and OKRs help track performance, they serve different purposes:
OKRs (Objectives and Key Results): Define what you want to achieve (Objective) and how you'll measure success (Key Results). They are typically ambitious, time-bound (e.g., quarterly), and often stretch goals. Learn more about Creating OKRs.
KPIs (Key Performance Indicators): Measure the 'health' of your business or a specific operation. They often track ongoing performance, are measured frequently, and can be used to monitor the success of processes or projects over longer periods.
Creating a New KPI
To create a new KPI in Elairo:
Navigate to the KPIs section from the main Navigation Overview.
Click the "Create New KPI" button. This will open the KPI creation form.
Defining Your KPI Attributes
When creating a KPI, you'll need to define several key attributes:
KPI Name
What it is: A clear, concise name that describes what the KPI measures.
Best Practice: Make it specific and understandable at a glance.
Example: "Monthly Customer Churn Rate," "Average Response Time to Support Tickets," "Website Conversion Rate."
Description
What it is: A more detailed explanation of the KPI, including its purpose, how it's calculated, and why it's important.
Best Practice: Provide enough context for anyone viewing the KPI to understand its significance.
Example: "Tracks the percentage of customers who cancel their subscription each month. A lower churn rate indicates higher customer satisfaction and retention."
Metric
What it is: The actual value that your KPI tracks. This is the quantifiable aspect.
How to set it: You'll typically input a numerical value, but it can also be a percentage, currency, or time.
Example: If your KPI is "Monthly Customer Churn Rate," the metric would be the percentage (e.g., 5%).
Target
What it is: The desired value you aim to achieve for your KPI.
How to set it: Define whether the target is "higher is better," "lower is better," or "on target is better" (for a specific range).
Best Practice: Targets should be SMART (Specific, Measurable, Achievable, Relevant, Time-bound).
Example: For "Monthly Customer Churn Rate," a target might be "< 3%". For "Website Conversion Rate," it might be "> 5%".
Thresholds
What it is: Ranges that indicate the performance status of your KPI (e.g., Red, Amber, Green).
How to set it: Define the boundaries for each status. Elairo typically uses:
Green: Performance is excellent or on track.
Amber: Performance is acceptable but requires attention, or is slightly off target.
Red: Performance is unacceptable and requires immediate action.
Best Practice: Set realistic thresholds that clearly differentiate between performance levels. This helps in quickly identifying areas that need attention on Dashboards.
Example (for "Monthly Customer Churn Rate" with a target of < 3%):
Green: < 3%
Amber: 3% - 4.9%
Red: ≥ 5%
Unit
What it is: The type of measurement for your KPI.
Options: Select from common units like:
Percentage (%)
Number (#)
Currency ($, €, £, etc.)
Time (Hours, Days, Weeks)
Ratio
Boolean (Yes/No, True/False)
Best Practice: Choose the unit that accurately represents your metric.
Measurement Frequency
What it is: How often the KPI's data will be updated or reviewed.
Options: Select from common frequencies such as:
Daily
Weekly
Bi-Weekly
Monthly
Quarterly
Annually

Best Practice: Choose a frequency that provides meaningful insights without overwhelming you with data. Operational KPIs might be daily/weekly, while strategic KPIs could be monthly/quarterly. This also ties into when you'd expect to perform Data Entry & Tracking.
Assigning Responsibility
What it is: Designate an individual or a team responsible for tracking and updating the KPI.
Best Practice: Assign to the person or team directly involved in influencing or collecting the data for the KPI. This ensures accountability.
Saving Your KPI
Once all attributes are defined, click the "Save KPI" button. Your new KPI will now be listed in the KPIs section and ready for Data Entry & Tracking.
Tips for Best Usage
Start Simple: Don't create too many KPIs initially. Focus on the most critical ones that align with your overall objectives and Organization Setup.
Link to Strategy: Ensure your KPIs are directly relevant to your strategic goals, whether they are organizational, team-specific, or individual.
Review Regularly: KPIs are not set and forgotten. Regularly review your KPIs to ensure they are still relevant and providing valuable insights. Adjust targets or thresholds as your business evolves.
Visualize: Use Dashboards in Elairo to visualize your KPI performance, making it easy to spot trends and areas needing attention.
Communicate: Share KPI performance transparently with your team. This fosters a shared understanding of success and areas for improvement.
