User Management
Effective User Management in Elairo allows you to control who has access to your organization's data, what actions they can perform, and how their profiles are configured. This ensures security, streamlines collaboration, and maintains data integrity.
You can access User Management from the Settings module.
Inviting New Users
Onboarding new team members to Elairo is a straightforward process.
Step-by-Step: Inviting Users
Navigate to
Settingsin the left-hand navigation bar.Click on
User Management.Click the
Invite Userbutton, usually located in the top right corner of the user list.Enter the email address of the user you wish to invite.
Select their initial User Role (Administrator or Standard User). You can change this later if needed.
(Optional) Assign them to a Team or Department. This can also be done later.
Click
Send Invitation.
An email invitation will be sent to the specified address. The user will need to click the link in the email to set up their password and log in to Elairo.
Tips for Best Usage: Inviting Users
Group Invites: If you're inviting multiple users to the same team or department, consider inviting them first, then use the bulk editing features on the User Management page to assign them to their respective Teams & Departments.
Clear Instructions: When sending invitations, especially for larger organizations, consider providing a brief internal guide alongside the Elairo invitation email to help new users get started, perhaps linking to our Welcome to Elairo or Quick Start Guide.
Managing User Roles
Elairo offers two primary user roles: Administrator and Standard User. These roles dictate the level of access and capabilities within the platform.
Administrator Role
Administrators have full access and control over the Elairo platform. This includes:
Creating, editing, and deleting users.
Managing Teams & Departments.
Configuring system-wide Settings.
Accessing all data, including private OKRs, KPIS, and performance reviews.
Integrating with other services (Integrations).
Grant the Administrator role only to trusted individuals who require full oversight and control of your Elairo instance.
Standard User Role
Standard Users are typically team members who will be using Elairo to:
Create and manage their own Creating & Managing Tasks.
Contribute to Creating OKRs and update Key Results Progress.
Participate in Performance Reviews and 360 Evaluations.
View dashboards and reports relevant to their teams.
Standard users have limited access to administrative settings and cannot modify other users' roles or advanced organizational configurations.
Step-by-Step: Changing User Roles
Navigate to
Settings>User Management.Locate the user whose role you wish to change from the user list.
Click on the user's name or the
Editicon next to their entry.In the user's profile settings, locate the "Role" dropdown menu.
Select the desired role (Administrator or Standard User).
Click
Save Changes.
Tips for Best Usage: Managing User Roles
Principle of Least Privilege: Assign users the minimum level of access they need to perform their job functions effectively. This minimizes security risks.
Regular Review: Periodically review user roles, especially for administrators, to ensure they are still appropriate. For example, if someone changes roles within the company, their Elairo user role might also need updating.
User Profile Settings
Each user has a profile page where their personal information and settings are managed. As an Administrator, you can view and edit other users' profiles. Users can also manage some aspects of their own profiles.
Common Profile Settings
Name: The user's displayed name within Elairo.
Email: The primary email address used for login and notifications.
Role: The assigned user role (Administrator/Standard User).
Team/Department: The Teams & Departments the user belongs to. This is crucial for task assignments, OKR visibility, and reporting.
Password: Users can change their own passwords. Administrators can initiate password resets for users.
Profile Picture: A visual identifier for the user.
Time Zone: Important for accurate meeting scheduling and notification times.
Step-by-Step: Editing a User Profile (as Administrator)
Navigate to
Settings>User Management.Click on the name of the user whose profile you want to edit.
Update the necessary fields (e.g., Team, Department, Name).
Click
Save Changes.
Tips for Best Usage: User Profile Settings
Keep Information Current: Encourage users to keep their profiles, especially their time zones and profile pictures, up-to-date for better collaboration and communication.
Team Assignment: Properly assigning users to Teams & Departments is vital for Elairo's functionality, influencing OKR alignment, task visibility within Task Board Overview, and reporting. Make sure this is always correctly set up.
Offboarding: When a user leaves your organization, remember to deactivate or remove their Elairo account via User Management to maintain security and keep your user list tidy.
