Performance Reviews
Elairo's Performance Reviews module, part of the Formation suite, provides a structured and efficient way to conduct comprehensive employee evaluations. This empowers managers to deliver meaningful feedback, helps employees understand their strengths and areas for development, and supports overall professional growth within your organization.
Understanding Performance Reviews in Elairo
Performance reviews in Elairo are designed to be flexible and customizable, allowing you to tailor the process to your company's unique culture and requirements. You can create different review cycles, utilize various templates, and facilitate both self-assessments and manager-led evaluations.
Key Components of Performance Reviews
Elairo streamlines the performance review process by integrating several key components:
Review Cycles: Define specific periods for conducting reviews (e.g., annual, bi-annual, quarterly).
Templates: Use predefined or custom templates to ensure consistency and focus across reviews.
Self-Assessments: Empower employees to reflect on their performance and contributions.
Manager Reviews: Provide managers with a structured approach to evaluating their team members.
Feedback & Comments: Facilitate open communication and constructive dialogue.
Ratings: Incorporate qualitative or quantitative rating scales for objective measurement.
Conducting Performance Reviews
Step 1: Setting Up a Review Cycle
Before you can begin conducting reviews, you'll need to establish a review cycle.
Navigate to Formation > Performance Reviews.
Click the "New Review Cycle" button.
Provide a Name for the cycle (e.g., "Q4 2023 Performance Review").
Define the Start Date and End Date for the review period.
Select the Participants for this review cycle. You can select specific individuals, teams, or departments (see Teams & Departments).
Choose the Review Template you wish to use (or create a new one, as described below).
Configure additional settings like self-assessment deadlines and manager review deadlines.
Click "Create Review Cycle" to save.
Step 2: Creating and Managing Review Templates
Templates are crucial for standardizing your review process.
From the Performance Reviews page, click on the "Templates" tab.
Click "New Template" to create a new one, or click on an existing template to edit it.
Name your template (e.g., "Annual Manager Review," "New Hire 90-Day Review").
Add Sections to organize your review (e.g., "Goal Achievement," "Core Competencies," "Development Areas").
Within each section, add Questions or Criteria. For each item, you can specify:
Question Type: (e.g., text box, rating scale, multiple choice).
Required: Mark if the question must be answered.
Self-Assessment: Indicate if this question should appear in the employee's self-assessment.
Manager Review: Indicate if this question should appear in the manager's review.
Click "Save Template" when you are finished.
Step 3: Employee Self-Assessments
Once a review cycle is active and includes a self-assessment component, employees will be notified to complete their assessments.
Employees will see a notification on their Elairo dashboard or via email.
They navigate to Performance Reviews and select the active review cycle.
They complete the questions designated for self-assessment, reflecting on their performance, achievements, and challenges.
They click "Submit Self-Assessment" by the specified deadline.
Step 4: Manager Reviews
Managers will be prompted to complete reviews for their direct reports once the self-assessment phase is complete or by the manager review deadline.
Managers navigate to Performance Reviews and select the relevant review cycle.
They will see a list of their direct reports requiring a review.
Click on an employee's name to begin their review.
Managers can view the employee's submitted self-assessment (if applicable) for reference.
They complete the questions designated for manager review, providing feedback, ratings, and comments based on the employee's performance.
Managers can save drafts and return to them later.
Once complete, they click "Submit Manager Review."
Best Practices for Performance Reviews
Align with OKRs/KPIs: Encourage managers and employees to reference their OKRs and KPIs when completing reviews to ensure alignment with organizational goals.
Provide Specific Examples: Encourage managers to provide concrete examples to support their feedback, both positive and constructive. This makes feedback more actionable.
Focus on Development: Frame performance discussions around growth and development plans (see Development Plans). Reviews shouldn't just be about past performance but also future potential.
Regular Feedback: Performance reviews are more effective when supported by ongoing, regular feedback throughout the year, not just a once-a-year event. Consider integrating with 360 Evaluations for a broader perspective.
Train Managers: Provide training to managers on how to conduct effective, unbiased reviews and deliver constructive feedback.
Transparency: Be transparent about the review process and criteria with employees.
