Data Entry & Tracking
Elairo provides flexible and efficient ways to enter and track data for your Key Performance Indicators (KPIs). Accurate and timely data entry is crucial for gaining meaningful insights into your team's performance and making informed decisions.
Entering Metric Data Manually
For individual KPI updates or ad-hoc entries, you can easily input data directly into Elairo.
When to use: Ideal for KPIs with less frequent updates or when a single data point needs to be recorded.
How to Enter Data:
Navigate to your KPIs: From the left-hand navigation, click on
KPIs.Select the KPI: Click on the specific KPI you wish to update. This will open the detailed view for that KPI.
Locate the "Update Data" section: On the KPI detail page, you'll see a panel, often labeled "Data Entry" or "Recent Data."
Enter the value: Input the current metric value into the provided field.
Add a comment (optional): You can add a brief comment to provide context for the data point. This is helpful for explaining any anomalies or specific circumstances.
Select the date: By default, the current date will be selected. You can change this if you are entering historical data.
Save: Click the "Save" or "Add Data" button.
Once saved, the new data point will be reflected in the KPI's history and charts, providing an up-to-date view of its progress.
Bulk Data Entry via the Grid
The bulk data entry grid is designed for situations where you need to update multiple KPIs simultaneously or enter several data points across different dates for a single KPI. This feature significantly streamlines the data entry process.
When to use: Perfect for weekly or monthly reporting cycles where numerous KPIs need their latest values recorded, or for backfilling historical data.
How to Use the Bulk Data Entry Grid:
Access the KPI Grid: From the
KPIssection, look for an option like "Data Entry Grid" or "Bulk Update."Filter and Select KPIs (Optional): If your team has many KPIs, you can use filters (e.g., by team, owner, or category) to narrow down the list of KPIs displayed in the grid, making it easier to focus on relevant ones.
Choose the Time Period: Select the reporting period you wish to update (e.g., "Current Month," "Previous Week," or a custom date range). The grid will display columns for each date within that period.
Enter Data in Grid Cells:
Each row represents a KPI.
Each column (after the KPI name) represents a date for which data can be entered.
Click directly into the cell corresponding to the KPI and the date you want to update.
Type the new value. The grid often auto-saves or provides a "Save All" button once you've made changes.
Review and Save: Before finalizing, quickly review all the entered data. Confirm that the values are accurate and associated with the correct KPIs and dates. Click the "Save All" button if available.
Tip: Data entered in the grid is immediately reflected in the individual KPI views and Dashboards.
Scheduling Data Collection Reminders
Consistent data entry is critical for maintaining accurate KPI tracking. Elairo allows you to set up reminders to ensure data is updated regularly.
Why use reminders: Prevents data gaps, ensures timely updates, and promotes accountability among KPI owners.
How to Schedule Reminders:
Navigate to the KPI: Go to the specific KPI for which you want to set a reminder.
Access Reminder Settings: Look for a section or button like "Settings," "Edit KPI," or "Reminders."
Configure the Reminder:
Frequency: Choose how often the reminder should be sent (e.g., daily, weekly, bi-weekly, monthly).
Day/Date: Specify the exact day of the week or date of the month for recurring reminders.
Time: Set the preferred time for the reminder to be delivered.
Recipient: By default, the KPI owner will receive the reminder. You might have options to include other team members.
Message (Optional): Customize the reminder message to provide specific instructions or context.
Save Changes: Ensure you save the reminder settings.
Best Practice: Align your reminder schedules with your team's reporting cadences (e.g., if you review KPIs weekly, set reminders for the day before your review meeting). This ensures that all data is current for discussions.
By leveraging these data entry and tracking features, you can ensure your KPIs are always up-to-date, providing a clear and reliable picture of your team's performance. For a broader understanding of how KPIs fit into your strategic goals, refer to Setting Up KPIs.
