Calendar Integration

Elairo's Calendar Integration feature seamlessly connects with your Google Calendar, allowing you to centralize your work schedule and Elairo meetings. This integration helps you keep track of team meetings, 1:1s, and other Elairo-related events without leaving your preferred calendar application.

Connecting Your Google Calendar

Connecting your Google Calendar to Elairo is a straightforward process that takes just a few clicks.

  1. Navigate to Settings: Click on your profile picture in the top-right corner of the Elairo interface and select "Settings" from the dropdown menu.

  2. Access Integrations: In the Settings menu, locate and click on "Integrations."

  3. Choose Calendar: Find the "Calendar" section and select "Google Calendar."

  4. Connect Account: Click the "Connect Google Calendar" button.

  5. Authorize Elairo: A new window will pop up, asking you to sign in to your Google account (if you're not already signed in) and grant Elairo permission to access your calendar.

    • Permissions Required: Elairo requests permission to view and manage events on your Google Calendar. This allows Elairo to:

      • Push Elairo meetings to your Google Calendar.

      • Read your Free/Busy information to assist with Creating Meetings.

      • Allow you to select your preferred calendar for syncing.

  6. Confirm Connection: Once you grant permission, the window will close, and Elairo will display a confirmation that your Google Calendar is successfully connected. You will also see options for managing your calendar settings.

Syncing Elairo Meetings to Your Calendar

Once your Google Calendar is connected, Elairo automatically pushes all meetings you are organizing or invited to directly to your selected calendar.

How it Works:

  • Automatic Sync: Any meeting created in Elairo (see Creating Meetings) or new invitations you receive will automatically appear on your connected Google Calendar.

  • Real-time Updates: Changes made to a meeting in Elairo (e.g., date, time, attendees, agenda) will be reflected in your Google Calendar as soon as they are saved.

  • Calendar Selection: During the connection process, or later in your calendar settings, you can choose which of your Google Calendars Elairo should sync events to. This is particularly useful if you have multiple calendars (e.g., personal, work, project-specific).

What Syncs:

  • Meeting Title: The meeting title from Elairo.

  • Date and Time: The scheduled date and start/end time.

  • Attendees: All attendees invited to the Elairo meeting.

  • Description: Includes a link back to the Elairo meeting page, typically the Agendas & Action Items view.

  • Location/Video Conferencing: If specified in Elairo.

Managing Calendar Settings

After connecting your Google Calendar, you can fine-tune your integration settings.

  1. Navigate to Settings > Integrations > Google Calendar.

  2. Primary Sync Calendar: Choose which of your Google Calendars Elairo should use to sync events. This is helpful if you have a separate "Work" or "Elairo Meetings" calendar.

  3. Default Notifications: Set your preferred default notification time for Elairo meetings synced to your Google Calendar. This can override your Google Calendar's default setting for these specific events, ensuring you receive timely reminders.

  4. Disconnect Calendar: If you wish to stop syncing, you can click "Disconnect Google Calendar." This will remove all future Elairo events from your Google Calendar that were added by the integration (past events will remain).

Tips for Best Usage

  • Centralize Your Schedule: By integrating your calendar, you can view all your Elairo meetings alongside your other commitments from your preferred calendar app.

  • Avoid Double Booking: Elairo's meeting scheduler can leverage your free/busy information from the connected calendar to help you find suitable times when Creating Meetings.

  • Stay Updated: Rely on the automatic sync to ensure you always have the most current information for your Elairo meetings.

  • Review Permissions: Periodically review the permissions you have granted to Elairo in your Google account settings to ensure they align with your preferences.

  • Troubleshooting: If events aren't syncing, ensure your Google account is correctly connected and check your internet connection. You can try disconnecting and reconnecting your calendar as a first troubleshooting step.
