Teams & Departments
Elairo provides robust tools for organizing your company structure, from individual teams to entire departments and locations. Properly configuring your teams and departments is crucial for effective goal alignment, performance management, and reporting within the platform. This guide will walk you through setting up these organizational units and viewing your company's org chart.
Accessing Teams & Departments Settings
To manage your teams and departments, you'll need administrative access.
From the Elairo dashboard, click on your profile picture or initials in the top right corner.
Select Settings from the dropdown menu.
In the Settings sidebar, navigate to Organization > Teams & Departments.
Creating and Managing Teams
Teams are the fundamental building blocks of your organizational structure in Elairo. They are typically composed of a group of individuals working collaboratively on specific projects or functions.
Adding a New Team
On the Teams & Departments page, locate the Teams section.
Click the + Add Team button.
A pop-up window will appear. Enter the Team Name (e.g., "Marketing Content Team," "Backend Development").
(Optional) Select a Department from the dropdown menu to associate this team with a larger department. If the department doesn't exist yet, you can create it later and then edit the team to assign it.
(Optional) Assign a Team Lead. This user will typically have elevated permissions within the team's modules.
Click Save.
Adding Members to a Team
Once a team is created, you can add users to it.
On the Teams & Departments page, find the team you wish to manage in the Teams list.
Click the Manage Members icon (often represented by a person silhouette or gears) next to the team name.
In the "Manage Team Members" pop-up, you'll see a list of available users.
Check the box next to each user you want to add to this team.
Click Save.
Tip: A user can be part of multiple teams if their responsibilities span different areas.
Editing or Deleting a Team
On the Teams & Departments page, find the team in the Teams list.
Click the Edit icon (pencil) to change the team's name, department, or lead.
Click the Delete icon (trash can) to remove the team. Be cautious when deleting teams, as this action may impact associated OKRs, tasks, and historical data.
Setting Up Departments
Departments are larger organizational units that often encompass several related teams. They help structure your company at a higher level.
Adding a New Department
On the Teams & Departments page, locate the Departments section.
Click the + Add Department button.
Enter the Department Name (e.g., "Marketing," "Product Development," "Human Resources").
(Optional) Select a Department Head from the dropdown.
Click Save.
Managing Department Members and Nested Teams
While you don't directly add individual members to a department, members are effectively part of a department if they belong to a team that is assigned to that department.
On the Teams & Departments page, find the department in the Departments list.
Click the Edit icon (pencil) to change the department's name or head.
You can then go back to the Teams section and assign relevant teams to this department.
Defining Locations
If your organization operates in multiple physical locations, Elairo allows you to define these, which can be useful for filtering reports, managing meetings, or assigning specific users.
Adding a New Location
On the Teams & Departments page, locate the Locations section.
Click the + Add Location button.
Enter the Location Name (e.g., "Headquarters - NYC," "London Office," "Remote").
Click Save.
Editing or Deleting a Location
Similar to teams and departments, you can edit or delete locations using the respective icons next to their names.
Viewing the Organizational Chart
Elairo automatically generates an organizational chart based on the teams, departments, and reporting lines you establish.
After configuring your teams and departments, navigate to the Org Chart tab within the Teams & Departments settings.
Here, you'll see a visual representation of your company's structure. You can often expand and collapse departments and teams to view details.
The Org Chart typically visualizes direct reports and departmental hierarchies, providing a clear overview of who reports to whom and what teams belong to which departments.
Best Practices:
Start Simple: Begin by defining your core teams and departments. You can always refine and expand later.
Assign Leads/Heads: Clearly assigning Team Leads and Department Heads helps clarify responsibilities and reporting structures.
Review Regularly: As your company grows or restructures, periodically review and update your Elairo team and department settings to ensure they accurately reflect your organization.
Leverage for OKRs and Tasks: Properly structured teams and departments allow for team-specific creating-okrs and task-board-overview, making it easier to track progress and assign responsibilities.
