Sprints & Backlogs
Elairo's Sprints & Backlogs feature empowers teams to manage their work in focused, time-boxed iterations, optimize their development cycles, and maintain a clear, prioritized list of upcoming tasks. This module is essential for agile teams looking to improve their efficiency and predictability.
Understanding Sprints
A sprint is a short, time-boxed period (typically 1-4 weeks) during which a team works to complete a predefined set of tasks. Sprints provide a structured approach to work, allowing teams to deliver value incrementally and adapt to changing requirements more effectively.
Setting Up a Sprint
Navigate to the Sprints & Backlogs Section: From the main navigation, select "Tasks" then click on "Sprints."
Create a New Sprint: Click the
+ New Sprintbutton.Define Sprint Details:
Sprint Name: Give your sprint a descriptive name (e.g., "Sprint 1 - Q3 UI Revamp").
Start Date: Select the date the sprint will begin.
End Date: Select the date the sprint will conclude. Elairo will automatically calculate the duration.
Team (Optional): Assign the sprint to a specific team if your organization has multiple teams working on different initiatives.
Goal/Description: Briefly outline the primary objective of this sprint. What do you aim to achieve?
Save Sprint: Click
Create Sprintto finalize.
Once created, the sprint will appear in your Sprints list. You can then start adding tasks from your backlog to it.
Managing the Backlog
The backlog is a prioritized list of all the work that needs to be done. It's a living document that continuously evolves as new ideas emerge, priorities shift, and tasks are completed.
Adding Tasks to the Backlog
All new tasks created (if not immediately assigned to a sprint) will automatically go into your backlog. You can also explicitly add tasks:
Navigate to the Sprints & Backlogs Section: From the main navigation, select "Tasks" then click on "Sprints."
View Backlog: Select the "Backlog" tab.
Add a New Task: Click the
+ Add Taskbutton.Enter Task Details: Provide a task name, description, assignee, priority, and any other relevant information, similar to Creating & Managing Tasks. The task will be added to the backlog.
Prioritizing the Backlog
Effective backlog prioritization is crucial for ensuring your team works on the most valuable items first.
Access the Backlog: Go to the "Sprints" section and click the "Backlog" tab.
Drag and Drop: Simply click and drag tasks to reorder them in the list. The task at the top should represent the highest priority.
Edit Task Priority: You can also edit individual task priority levels (e.g., High, Medium, Low) within the task details.
Tip: Regularly refine your backlog with your team. Remove obsolete tasks, break down large tasks into smaller ones, and adjust priorities based on new information.
Sprint Planning
Sprint planning is a collaborative event where the team decides which tasks from the backlog they can realistically complete within the upcoming sprint.
Select an Active or Upcoming Sprint: Go to the "Sprints" section and select the sprint you want to plan.
Review Backlog: The backlog will typically be displayed alongside your active sprint.
Add Tasks to Sprint:
Drag and Drop: Drag tasks from the backlog directly into the sprint's task list.
Select Multiple Tasks: Check the boxes next to multiple backlog tasks and then click
Move to Sprintto assign them.
Estimate Effort (Optional): If your team uses effort estimations (e.g., story points, hours), update these for each task within the sprint. This helps with capacity planning.
Review Sprint Capacity: Ensure the total estimated effort for tasks in the sprint aligns with your team's capacity. Avoid over-committing.
Best Practice: During sprint planning, discuss each task with the team to ensure everyone understands the scope and requirements. Define clear "Definitions of Done" for each task.
Tracking Sprint Progress & Velocity
Once a sprint begins, Elairo provides tools to track its progress. You can view tasks within a sprint on a Task Board Overview to monitor their status.
Velocity Tracking
Velocity is a key agile metric that measures the amount of work a team completes per sprint. Elairo helps you track this over time.
Navigate to Velocity Report: In the Sprints section, look for a "Velocity Report" or "Analytics" tab.
View Completed Work: The report will visualize the completed effort (e.g., number of tasks, story points) for past sprints.
Analyze Trends: Use this data to understand your team's historical performance, improve future sprint planning, and set more realistic expectations.
Tip: Consistent velocity helps predict how much work your team can tackle in future sprints, leading to more reliable project timelines. Use velocity as a planning tool, not a performance metric for individuals.
